To Create a Distribution List

  1. Select File > New > Distribution List.

    The Distribution List form opens in the Content pane.

  2. Enter a name for the distribution list.
  3. Click the Add icon in the action bar.

    The distribution list is created. Now you can add one or more persons to the list.

  4. To add a person to this distribution list, do the following:
    1. Expand the Persons topic.
    2. In the next available row, enter the Code of the person you want to add and press the <Tab> key to validate the person.

      You can also use the Query Persons link to search for persons you want to add; after searching, drag the persons you want from the search results into the Persons topic.

    3. From the Distribution Address list, select which of the person's addresses you want to use for distributions.
    If the person does not have an address defined, open that person (or the organization to which they belong) now and add contact information in the Directory Entries topic.

The Documents topic shows where this distribution list is used.

A distribution list can be used on multiple documents.

Each person in a distribution list must have the status of Active, otherwise that person is ignored when the list is used on a distribution order.
